A consistent, professional email signature is one of the simplest, cheapest things a business can standardize, and one of the most commonly neglected. Left to individual employees, signatures drift: inconsistent fonts, outdated titles, a logo that's blurry or missing, or no phone number at all, on every single outbound email representing the business.

This tool builds a clean signature entirely in your browser: fill in name, title, company, and contact details, plus an optional logo and accent color, and it renders a live preview as you type. Nothing you enter is sent anywhere, the signature is generated and stays in your browser tab. Toggle the preview between light and dark backgrounds to check that your text and logo stay readable regardless of how a recipient's email client is themed, since some people do read mail in a dark-themed inbox.

When it looks right, copy the signature directly into Outlook or Gmail's signature settings. If pasting loses formatting, the "View HTML Code" option gives you the raw HTML to paste into your email client's HTML or source-code signature editor instead, which usually fixes the formatting issues a plain copy-paste can introduce.

Most email clients keep a signature's own background as-is regardless of the reader's light/dark mode setting, this toggle just lets you sanity-check that your text and logo stay readable either way, since some readers do view mail in a dark-themed client.

To use it: click "Copy Signature," then in Outlook go to File → Options → Mail → Signatures and paste into a new signature. In Gmail, go to Settings → General → Signature, create a new one, and paste. If pasting loses formatting, use "View HTML Code" and paste that into your email client's HTML/source signature editor instead.
