Email security starts at your domain, not your inbox.
Where your domain's DNS is hosted matters more than most businesses realize. Whether your DNS records live with your registrar, a service like Cloudflare, or your email provider itself, that's where the records controlling spam filtering and email authentication actually live: SPF, DKIM, and DMARC. If those records are missing, misconfigured, or left over from a previous provider, attackers can spoof your domain in phishing emails even if your mailboxes themselves are locked down tight.
Spam filtering is only half the picture. The other half is proving to the rest of the internet that mail claiming to be from your domain actually came from you. Most cloud email deployments have security gaps and licensing waste.
Whether your team is on Microsoft 365 or Google Workspace, what you actually get depends on how the tenant was set up. Newer Microsoft 365 tenants start with Security Defaults, which require MFA registration and block legacy authentication. Older tenants, tenants where those defaults were switched off to make room for Conditional Access, and tenants carrying incomplete policies or long-standing exceptions are a different story. Defender features vary by license and often sit unconfigured. On Google Workspace, similar gaps exist around login security, sharing permissions, and audit logging.
On the licensing side, it's common to find businesses paying for plans that don't match their actual needs, or paying for seats that belong to employees who left years ago. A proper audit typically finds meaningful monthly savings on either platform.
